This Privacy Policy explains how Vareqsa Digital may collect, use, disclose, and protect personal information when you visit our website, contact us, request a quotation, purchase services, or otherwise interact with us. We handle personal information in accordance with applicable Indian privacy and data-protection laws.

- Project and business information such as briefs, marketing objectives, website content, branding assets, quotations, invoices, agreements, and support records.
- Technical information where collected, such as IP address, browser and device information, operating system, referral source, cookie identifiers, and website usage data.
- Advertising and analytics information, if relevant tools are installed and configured, such as page visits, ad interactions, campaign performance, and conversions.
- Information you voluntarily submit through contact forms, email, WhatsApp, social media, or other communications.
2. How information is collected
We may collect information directly from you, through website forms, during service delivery, through communications, via cookies or similar technologies, or from service providers and business partners where permitted by law. Where required, we will provide notice and obtain consent before collecting or processing personal information.
3. How we use information
We may use information to respond to enquiries, prepare proposals and invoices, provide services, manage client projects, support websites and automation systems, operate CRM workflows, measure campaign performance, improve our services, send administrative messages, send promotional communications where legally permitted, prevent fraud and security incidents, comply with legal obligations, and establish or defend legal claims.
4. Marketing communications
We may send service-related messages such as quotations, project updates, invoices, and support responses. Promotional communications will be sent only where we have the necessary legal basis or consent. You may ask us to stop promotional messages through an available unsubscribe method or by contacting us. Requests will be handled in accordance with applicable law.
5. Cookies and similar technologies
Our website may use essential cookies, preference cookies, analytics tools, and advertising or conversion-tracking technologies, depending on what is installed. Where required by law, non-essential cookies and tracking technologies will be activated only after the required consent. You may also manage cookies through browser settings; disabling them may affect website features. See our Cookie Policy.
6. Analytics and advertising providers
We use Google Analytics 4 on this website. It is loaded only after you accept analytics cookies on the cookie banner, and you can change your choice at any time using Cookie settings in the website footer. We do not currently use Meta advertising tools or Google Ads conversion tracking on this website. These providers process data under their own terms and privacy policies.
7. AI, CRM, and automation
We may use AI tools, CRM platforms, automation software, hosting services, and communication APIs to provide services such as enquiry management, workflow automation, drafting, summaries, customer support, appointment follow-ups, and campaign analysis. We aim to use appropriate safeguards and relevant contractual arrangements with service providers.
Do not submit sensitive or confidential information to an AI-powered workflow unless the service has been appropriately assessed and authorized.
The main service providers we currently use are:
- Cloudflare: website hosting, CRM database, backups, email routing and human verification (Turnstile).
- Resend: sign-in codes and notification emails.
- Zoho: Vareqsa's own email.
- Google: website analytics (Google Analytics 4), only for visitors who accept analytics cookies.
- Meta: WhatsApp Business Platform, for WhatsApp conversations with us.
8. When we share information
We may share necessary information with service providers such as hosting companies, CRM platforms, payment processors, analytics providers, AI providers, and communication vendors. We may also share information to deliver a client-authorized service, comply with valid legal requirements, protect systems and legal rights, or as part of a business transfer subject to applicable law. We do not sell personal information as a standalone commercial product.
9. Data retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, subject to legal, accounting, contractual, security, and dispute-resolution requirements. When information is no longer required, we will take reasonable steps to delete, anonymize, or securely dispose of it, subject to applicable law and legitimate retention needs.
10. Security
We use reasonable technical and organizational measures designed to protect personal information from unauthorized access, loss, alteration, disclosure, and misuse. Measures may include access restrictions, authentication controls, secure configurations, and vendor safeguards. No website, electronic transmission, or storage system can be guaranteed completely secure. We will handle personal-data incidents as required by applicable law.
11. Privacy rights and requests
Subject to applicable law, you may be able to request access to information, correction of inaccurate information, deletion where legally applicable, withdrawal of consent where processing is based on consent, or other available rights. We may need to verify your identity. Some information may need to be retained where required by law or where another lawful basis applies. We will respond within applicable legal time limits.
12. Children's privacy
Our services are intended for business customers and a general audience, not specifically directed at children. Where applicable law requires additional safeguards, parental consent, or age-related protections, we will follow those requirements. If you believe children's personal information has been collected improperly, contact us so we can assess the concern.
13. Third-party websites
Our website or services may link to third-party websites, platforms, or applications. Those parties have their own privacy practices. Review their policies before providing personal information. We are not responsible for the independent privacy practices of third-party websites.
14. International data transfers
Some service providers may process or store information outside India. Where personal information is transferred internationally, we will follow applicable legal requirements, including any relevant restrictions or safeguards. Processing locations depend on the providers and arrangements used for a particular service.
15. Client campaign and CRM data
When we process personal information on behalf of a client, the client may determine the purpose of processing and we may act as a service provider or processor under the applicable arrangements. The client is responsible for having an appropriate legal basis, providing required notices, and obtaining necessary permissions. We will process information according to documented instructions, the applicable agreement, and law. Additional data-processing terms may be required.
